Pictalk Buddy Pro Step-by-Step Guide
Pictalk Buddy is available at a pay-what-you-want price, so you can start using it without any fees, at your own pace.
When supporting multiple individuals, creating and managing content (schedules, guided sequences, notebooks) takes time and energy. That’s why we developed the Pro features: they allow you to deploy Pictalk Buddy smoothly across your organization, as a team, without having to start over for each supported person.
To access them, simply join the Pictalk association. The membership fee depends on the number of people who will use Pictalk Buddy in your organization.
Your membership directly helps us fund the project and keep the app accessible to all families.
Reminders about Pictalk Buddy Pro
- Pictalk only provides access to the applications, not hardware (tablet, watch, etc.).
- Pictalk Buddy on connected watches is available on WearOS 3+. Check the list of devices here.
- All members of your group automatically benefit from Premium features, including access via connected watch.
What Pictalk Buddy Pro allows you to do
Pictalk Buddy Pro lets you:
- Create and manage individual profiles for each supported person
- Share content (schedules, guided sequences, notebooks) among members of your group
- Grant families and caregivers access without extra fees
- Use Pictalk Buddy on connected watches for everyone in the group
Activating the Pictalk Buddy Pro subscription
- Schedule a session with our team using the booking link (available on pictalk.org).
- During the video appointment, we set up your access together and activate your free one-month trial.
- Once the trial is activated or your contract signed, your Pro badge and the number of included profiles automatically appear in the app.
Setup
Create a group
Log in to your Pictalk Buddy account
In settings, select "My groups"
Click "Create +" and name your group.
To create a profile for a supported young person
- Add them to the group as a "Profile"
- Once their parents provide their email address, link the "Profile" to this email address.
- The young person can use the same account even after leaving the organization
Select the group you just created.
Click "Add +" to add a young person
Click "Create a member"
This new profile is for now linked only to your account.
Fill in the information (First name required), then click "Create"
The young person automatically gets a new schedule. You can add events, sequences, notebooks from now on.
Once their parents/guardians have provided the email, click "Create an account"
Fill in the young person’s email and create a temporary password.
It will be changed upon first login. Click "Confirm".
The young person’s parents can log in with the email and password.
To add a collaborator or a young person with an existing account
Select the group you just created.
Click "Add +" to invite an educator.
Choose "Email invitation".
Enter their email address.
Click "Profile" for a young person
Click "Collaborator" for an educator
Request full access
For privacy reasons, you can request more or fewer permissions on this account.
The invited person must check the invitation email (and accept).
Once the person has created their account with the same email address, they appear in the group.
The educator or the young person can now access the group resources
Daily Use
Create a Schedule for a young person
When creating an event, select the correct schedule
As a collaborator (or administrator), you can easily switch from one person to another to manage their schedule.
Create a Guided Sequence for a young person
When creating a sequence, select the correct recipient
Create a shared Notebook
When creating a notebook, select the correct recipient.
For shared notebooks:
Posts by collaborators (educators, etc.) are visible to everyone. Profiles (families) can like and comment on posts.
Posts by profiles are visible only to themselves and collaborators (notebook function ensuring confidentiality).
Access a profile
Removing a Member
To remove a member from the group, go to their profile and click "Remove".
What changes for the removed person:
- They lose access to content shared by the group (schedules, sequences, notebooks created by the organization)
What does not change:
- They keep their account and all personal content
- They can continue using Pictalk Buddy normally with free access
- Occasional donation requests will be proposed to support the project, without obligation
This is especially useful when a young person leaves the organization: their account goes with them, with all their history and visual markers. There is no disruption in their use of the application.

What is a profile?
A profile is a user account created for a person with a disability or specific needs.
How is pricing established?
At the start of membership, you choose the number of people to include in the "Pro" plan.
Do parents have to pay?
No, your Pro subscription covers use by family and caregivers, and they will not receive donation requests.
What happens if I delete a person from the group?
That person will keep their personal content and continue using the app normally. However, they will lose access to group content.
Can I share content with a young person’s parents?
Yes. Once you have linked a young person's profile to their personal email address, their parents can log in with that account and access the content you created for them.
Is the connected watch included in the Pro subscription?
Pictalk Buddy Watch is included for everyone. Hardware (watch, tablet) is the responsibility of the organization or family.
